Privacy Policy

This policy explains how KCP Training and Recruitment Ltd collects, uses and protects personal information when you use our website, contact us or enquire about our services.

1. Who We Are

KCP Training and Recruitment Ltd is a UK training and recruitment company. Registered Company Number: 13442598. Registered Address: 20-22 Wenlock Road, London, N1 7GU.

2. Information We May Collect

We may collect information you provide when you complete a website form, send an enquiry, request course information or contact us by email. This may include your name, email address, telephone number, organisation name, enquiry details and communication preferences.

When you send us a form we also record how you found our website - for example a Google advert, a search engine, an AI assistant such as ChatGPT, or a link on another website - and the page you first arrived on. This is worked out from the web address and the link you followed. It uses no cookies, nothing is stored on your device, and it is not shared with Google or anyone else. We use it only to understand which of our adverts and pages bring enquiries, and keep it with your enquiry.

3. How We Use Your Information

  • To manage course enquiries, enrolment requests and customer support.
  • To improve our website, content and service quality.
  • To comply with legal, regulatory and business administration requirements.

4. Lawful Basis for Processing

We process personal information where it is necessary to respond to your request, to take steps before entering into a contract, to fulfil a contract, to comply with legal obligations or where we have a legitimate business interest in operating and improving our services.

5. Sharing Information

We do not sell your personal information. We may share information with trusted service providers who support website hosting, email, IT systems, training administration or professional compliance, where this is necessary and appropriate.

6. Data Retention

We keep personal information only for as long as reasonably necessary for the purpose it was collected, including to respond to enquiries, manage training records, meet legal requirements and resolve disputes.

7. Security

We use reasonable technical and organisational measures to protect personal information against unauthorised access, loss, misuse or disclosure.

8. Phone Assistant Call-Backs

When you send an enquiry you can tick a box asking us to ring you back straight away. That call is made by KCP’s automated phone assistant, an AI voice system, and it tells you at the start of the call that it is a virtual assistant. It answers questions about our courses and room hire, can put you through to a member of staff, and can email you a booking link if you ask for one. We only ring if you tick the box, only on the number you gave us, only between 9am and 5:30pm on weekdays, and no more than twice for one enquiry.

  • What it uses: your name, phone number, email address and what you wrote in the form, so the assistant knows what you asked about.
  • Recording: calls are recorded and transcribed. A summary and the transcript are emailed to our office so a member of the team can follow up, and are kept with your enquiry.
  • Who processes it: the calls run on Retell AI, a voice platform based in the United States, over a Twilio phone line. They process the call for us under their data processing terms, which include safeguards for transfers outside the UK. Retell deletes its copy of the recording and transcript after 30 days.
  • Lawful basis: your consent, given by ticking the box. You can withdraw it at any time by saying so on the call or by emailing info@kcptraining.co.uk, and we will not ring you again.
  • The assistant never asks for card details, passwords or health information.

9. Emails to Care Providers

We sometimes email care providers registered with the Care Quality Commission (CQC) about training that helps them meet their legal requirements, such as the Oliver McGowan Mandatory Training on learning disability and autism.

  • Where the details come from: the organisation’s name, address, services and registered manager come from the public CQC register; the email address is the business address the organisation publishes on its own website. We do not buy email lists.
  • Who we email: organisations (companies, charities and public bodies) at their business address. We do not email sole traders or partnerships this way.
  • How often: one email and, if there is no reply, at most one follow-up.
  • Lawful basis: our legitimate interest in telling care providers about training relevant to their legal duties, balanced against your rights. The Privacy and Electronic Communications Regulations allow this kind of email to organisations as long as we say who we are and you can opt out.
  • Opting out: every email has an unsubscribe link, or you can reply “unsubscribe”. We then keep only your email address on a do-not-contact list so that you are never emailed again.
  • Retention: if you do not reply, we delete your details within 12 months of our last email, apart from the do-not-contact list.

10. Advertising and Measurement

We advertise our courses on Google Ads. If you accept cookies, this website uses Google’s tags (Google Analytics and Google Ads) to measure visits and enquiries, so we can tell which adverts work. If you choose “Essential only”, those tags are not loaded. We do not show third-party adverts on this website.
